Most retailers who sell online enter everything twice: a web order into the POS, an invoice into the accounting, a stock into a spreadsheet. That is lost time and guaranteed errors.
What connects
- Stock. The POS stays master: a sale in the shop removes the item from the site, and vice versa. No more selling a product that no longer exists.
- Orders. The web order arrives in the POS or the ERP like a normal sale, with the customer, the items, the payment.
- Invoices. Generated automatically, numbered in order, pushed to the accounting with the right VAT, including for export.
- Shipments. Carrier label created from the order, tracking number sent back to the customer with no intervention.
- Customers. A single record, fed by the website and the physical shop.
How it works
Almost all recent software exposes an interface (an API): the POS, the accounting, the carrier, the store. My job is to write the small program that makes them talk, by your rules: which stock is authoritative, how we number, when we invoice, what to do if a parcel is lost. When a tool has no interface, we go through files exchanged automatically, less elegant but it works.
A real example
A fine grocery with physical shops and a multilingual online store: the POS sends the stock to the site every night, web orders flow back into the POS, shipping costs are calculated by country and weight, and the invoice goes out with the right VAT in France, Switzerland and the United States. Before, all of that was done by hand, every morning.
